SCMG Minutes 2003-12-03

1. Present: Scott, Steven, Jon, Rob, Simon, Matt, Karen, Rich, Adrian, Angie, Seb, Jenna, Brian, Nick. Chris.

2. Apologies: Brett.

3. Financial Report: We have £330.68 in the account after paying £800 for the production of this year's compilation CD.

We need to decide how to spend the rest of this money before we apply for more in April. It was proposed that it should be used to fund recording local bands that apply to the SCMG for it, and for promoting gigs.

It was decided that we would discuss the matter in full at the next meeting.

4. Gigs: Adrian will confirm the availability of himself and the Arts Centre PA at the next meeting.

17/01/04 @ Rock Gardens, no line up yet. Promoted by Angie.

Roger the Landlord of the Rock Gardens is leaving this week, however, according to Angie, the new owner will honour any upcoming dates. Angie has a meeting with the new owner planned soon.

Simon recommended 'Hotshots Snooker Club' in Highbridge as being well organised and a good place to play. Contact details will be obtained.

We still have a bi-monthly arrangement for gigs at the Arts Centre:
- Sat 31st Jan, promoted by John A
- Sat 20th March, Simon
- Sat 29th May, Angie/Seb
- Sat 24th July, Brett?

5. Compilation CD: The CDs have been made and are ready. We have 500 CDs, which were produced at a cost of £800. £360 of this was provided by the SCMG. The rest was paid by the bands at £20 per band. Each band will receive 20 CDs after they have paid their money. Karen will be in charge of issuing the CDs at the launch gig on Sat 6th Dec, upon payment by the bands.

6. Transit Tour: John A would like a volunteer to take over promotion of the tour as he wishes to concentrate on his studies into his final year at university. It is an excellent opportunity, and the right person stands to make a small personal profit.

Also, Brett would like to hear from any one interested in acting as stage manager at the Rag-Day event on Thursday 18th Dec. Pm-Evening. Anyone interested should contact Brett.

7. SCMG Constitution: Matt suggested we write a constitution for the group to formalise our aims and make it easier to apply for grants from the council. (As a 'Key Strategic Organisation' we would qualify for constant funding). A draft document was circulated at the meeting and was agreed to be acceptable. Matt and Adrian will produce a revised/finalised draft for the next meeting, which will be the Annual General Meeting.

One of the requirements of having a constitution is that we have a membership scheme of some sort. It was agreed that members should attend a number of meetings annually. It was not decided whether membership should be chargeable.

At the AGM we will vote for Officers for the next year to fill any vacancies that might arise.

8. Arts Centre: The Arts Centre is threatened with closure by the council. It is their intention to relocate it to Burnham in a move viewed as being largely political. (The council is largely Conservative, and there are more Conservative voters in Burnham than in Bridgwater) Brian urged the Group to add support to the opposition to this plan, which the meeting agreed was a very bad thing. Members of the group and anyone else who wishes to were urged to write to the Mercury and to Mike Cresswell, the portfolio holder for leisure, sport and culture, expressing their concern. Write to: michael.cresswell@sedgemoor.gov.uk and newsdesk@bridgwatermercury.co.uk or post a letter to:

Letters Editor,
The Bridgwater Mercury,
Royal Clarence House,
York Buildings,
High Street,
Bridgwater,
Somerset
TA6 3AT

For a letter to be included in the paper it needs to be received by 5pm Thurs.
It is important that we show support, and resist this move if only because we have just recently started promoting gigs at the arts centre again.

9. Czech Business: The tour had been oversubscribed by bands and a subcommittee was formed to decide which bands should play. The committee was formed by Brian, Matt and Chris. The bands that will go, subject to them paying their money in time are Citrus Boy, Endeavour, Method Own, Propaganja and Airfield.

There has been no progress in getting any money from Adam Carter, which he owes to the promoter in Ceske Budejovice after having collected it from some participants of this years tour to pay for damage to the accommodation. It was decided that the group should exclude Adam from participating in any SCMG events organised by the group until the money is paid. Matt will again try to contact Adam.

10. Upcoming Events: Gig at the Rock Garden on 17th Jan organised by Angie. No line up confirmed yet.

Matt is still investigating the possibility of using the Rollercoaster Studio. Simon suggested that the SCMG could pay some of the costs of the studio for SCMG bands that wanted to use its facilities.

11. Next Meeting: The next meeting will be the AGM on 6th January 2004, at the Arts Centre.

Present: Scott, Steven, Jon, Rob, Simon, Matt, Karen, Rich, Adrian, Angie, Seb, Jenna, Brian, Nick.
Apologies: John A, Brett

Financial Report: We currently have £1030.30

Midnight Mango promotions:
Gigs: Dates available & confirmed and Adrian's Availability. This section has recently become more complex, due to Adrian... It will now be included on a separate page, click here for details

Rock Gardens Situation: Roger the owner has sold the venue and will aim to give us two weeks notice of when he will be leaving. We will need to contact the new owner to determine the future of the venue.
Other Venues This raised the issue of venues in Bridgwater, and how to increase the number of places that we can promote and perform at. Rob mentioned the Newmarket and Toffs and said he would look into promotions there. Matt stressed the need to be proactive, and suggested the Blake. Simon would look into using the Oz bar again, and Steve would investigate placing an advert in the Mercury to attract venues. Matt then went on to mention an email he had received from Charlie, the manager of the Arts Centre, regarding larger bands playing at the Palace Matt and Charlie will be meeting with the Management of the Palace and Matt will report back yo the next meeting. This was considered a good idea by all present. Various suggestions were put forward including local support for large bands, battle of the bands competitions to win prestigious support slots, heats in the Oz bar. matt would raise these with the Lillies at their meeting. Adrian took the opportunity to present a letter he had drafted which he suggested sending to Chris Sideway. The letter was urging Chris to establish a venue for local bands. It was felt that the letter was a little too aggressive and didn,t offer any solutions. Adrian would redraft. It was suggested that we instead consult the Arts Review, and make a proposal after reading that... to provide a subsidy for a venue. It was considered worth noting that our subsidy does not cover venues. Our grant money is mainly for the annual CD, and Somerfest.
Arts Centre: Situation: We have secured a bi-monthly slot of contracted gigs at the Arts Centre, which is very good news.
Sat Dec 6th (CD Launch Gig) Then
Sat 31st Jan (Jon Clash)
Sat 20th March
Sat 29th May
Sat 24th July
The conditions for using the venue are as follows:
1. We have access to the venue from 4pm and we must be out by 12mt.
2. Music is to finish at 11pm.
3. The promoter should provide two stewards, and box office staff.
4. The promoter will take care of their own publicity and tickets.
5. Pre-sold tickets are subject to a booking fee.
6. Any band wishing to perform covers will have to pay a £25 PRS fee.
7. The cost of hire is £75 for a night.
Allocation Of Gigs:
The meeting decided that the dates that we have available should be fairly distributed amongst those who wish to promote a night there, but promoters would have to meet conditions imposed by the group. Steve suggested we give priority to local acts, and Matt suggested that, since we are a group for local artists, one SCMG act should perform at each event. This proposal was carried by the group. It was also agreed that each night should feature a total of at least three acts. Simon drew a parallel with the Palace arrangement and said that a Big Name, band would draw a crowd, while giving local acts the opportunity of a decent support slot.
The dates booked so far were allocated by agreement as follows:
January: John A
March: Simon
May: Angie et al
July Open for next meeting to decide, Adrian Suggested Brett would be interested.

Compilation CD:
Music: This year the album will contain one track per group, as 23 acts submitted work for inclusion.
Name: "Stairway to Bridgwater" with a subheading SCMG compilation 2004
Artwork: There were eight submissions of artwork to go on the cover of the new CD. These were voted on by the group, and two finalists, were chosen. In a vote the image of the wicker/running man in silhouette won over the montage of the man and images of Bridgwater by seven votes to five. Because of the narrow margin a dual cover or front and back design incorporating both images was proposed, but no decision was reached. It was agreed that Karen would contact the artist responsible for the wicker man to inform her that we were going to use the image of her work.
Launch Gig (Sat Dec 6th)Matt/Brett to promote, Angie and Karen to steward/Door Seb to do the lights. Line up to be confirmed. Acoustic sessions in the bar?
Transit Tour:
John not present to discuss
Czech Business:
Czech Business: Brian reported that there has been a very good response from people wishing to play on the tour in April. The deadline for people interested in travelling to contact Brian will be the date of the next SCMG meeting. At the next meeting a sub-committee will be formed to work through the applicants.Brian also reported that we can no longer book gigs in Czeske Budejovice because of the damage done to the accommodation we were staying in. At the time Adam from Stupidicus started a collection to cover the cost of the damage but, despite several people on the trip contributing to the fund, the money was not given to the promoter. Since then the promoter has visited Bridgwater twice, but no money has been forthcoming. Brian reflected that the fact that we can no longer play in this town, which was a major and regular venue for the tour, is a great shame.

A.O.B:
Rollercoaster Studio, Studio in Bridgwater with a group from his school. It is a studio designed for and aimed at people aged 11-19. He mentioned the possibility of cheap studio time for local acts, as well as the possibility of local musicians or engineers helping out. He also mentioned the possibility for wider use by the SCMG in the new year, as it is currently under-subscribed. Rob also announced he had been interested in opening a studio and rehearsal space, now he would be interested in a technicians role at the Rollercoaster
Any Other Business: Jenna is looking for contributions for a fanzine she is compiling. She would welcome any contributions of music reviews, film reviews, photography etc. Any material should be submitted to the following email address: bridgwatermusicfanzine@hotmail.com

Date of next meeting: A vote was held to decide whether we should move the meetings to another day of the week, so that other people may attend. It was decided by a vote that it should not be changed, so the next meeting will be Tuesday, 2nd December, at the Arts Centre.

Other venues: Arts Centre Gigs:
We now have an arrangement with the Arts Centre to use their theatre and PA. They will take £75.00 and 10% of the pre gig ticket sales. We will need to provide door staff and people to overse the event. There are only two gigs booked at the moment, as most of their programme is booked well in advance, and this will be an opportunity to 'test the water'.

The annual tour of the Czech Republic was discussed, and it was agreed that we would like this to go ahead again, however, Brian raised the issue of the damage caused this year in the hostel in Ceske Budejovice, and was interested to know what had happened to the collection that was organised after the trip to pay for the damage. Our link in CB has visited twice since the trip, and we have not been able to present her with any money, thereby jeoparising any future trip to CB.
Date of next meeting:

Other venues: Arts Centre Gigs:

We need to provide one or two staff for admissions/overseeing event etc. (Since confirmed as such)

Somerfest Review:
Friday Night Gig:
Well attended, bands were paid a reasonable amount (£20 for local, £30 for non-local). the use of an outside gazebo/mini stage was regarded as a very god idea although it was criticised for nt being managed properly and lacked any kind of structure regarding orders/when people should be playing. The whole event overran until 2 in the morning. There were issues regarding the mix of the clients of the two rooms of the rock gardens where some non-gig attenders were causing hassle. It was suggested that next year, the friday indoor gig should be held somewhere more conducive to live music such as the arts centre.
Something for the Weekend Event: Estimates of 1000 people attended throughout the day. Regarded as a success and reasonably trouble free. Issues included:
*Matt Gunther arriving late with PA gear. In future the PA suppliers would be contracted so as a late arrival would have an impact on their payment.
*Paying litter pickers worked out to be an excellent idea, this should be budgeted for next year
*There was a level on dissatisfaction with the hired "door staff". It was felt that they weren't really doing their jobs. next year a better quality of 'back stage' security would have to be considered which would include clear signs indicating that passes must be shown, and a better quality pass should be made available.
*it was felt that communication between the SCMG and the Crusaders, who were organising the other events of the day, needed to be improved.
*The Fridge Magnets band were an excellent idea.
*The SCMG shop: worked well but those working on it felt that they were being treated as a complaint station as much as a shop or information point. Next year it is requested that more helpers are designated to this task. it was suggested too that an SCMG shop should be set up at more events as it was a good money spinner for bands selling merchandise. Also next year a clear sign indicating that it was a merchandise stall would be appreciated.
*Stewards: not enough people volunteering! next year we need to consider options such as bands helping provide staff, and to think about the male/female ratio's - there were a lot male stewards this year.
*Only one major complaint: Cllr taylor complained that one of the portable toilets had been knocked over and reported violence. It seems that this took place after the gig finished and Matt will find out more details about the nature of the complaint.
*Several people this year indulged in fire juggling and similar performances. Although this was not part of the big gig as such it was felt that next year some sectioned off area for people to do this would need to be considered in terms of health and safety.

The new bank account: £195.68 currently in the new bank account. Recent credits from Endeavour and Wombomb (for Smells like Bridgwater CD's). Those present agreed to lift the previously agreed 'ban' of these two groups from SCMG/Midnight Mango activity.
Grant ApplicationMatt submitted an application for a grant. Brian S recommends that the group should apply to Sedgemoor District Council for core funding of the SCMG's activities

Compilation CD "Smells Like Bridgwater 2003":
Two outstanding payments from the last CD have been received.

Czech news
Czech Rock Tour Report: This years tour broke even. Rob P stated that every year the tours are growing, and are getting better and better. It was agreed by all that the use of one bus from Bridgwater for the whole tour was the best form of transport. Feedback from last hostel stop not good - several rooms left in a bad state (cleaners reported to be physically sick by the smell in one room), the contact in this town requested compensation. Adam C agreed to do a collection from tour goers to fund this. £1 each was agreed.

Three Crowns Gigs & other Midnight Mango promotions:
Situation:Gigs still operating mainly out of the back room of the rock gardens. Adam's feedback from Roger (Rock Gardens and 3 crowns licensee) is that gigs may be able to go back into the pub within 2 months. Issue from RG's is that people are sneaking in through the back door and not paying. John A will find a solution for this with Roger. John also stated that from August time onwards he will once again try to step down from being main promoter on behalf of Midnight Mango.
Grants: Adrian has been involved in some discussions with a representative from the Arts Council to find out what we could successfully bid for. It was decided that we should not worry to much about creating a perfect application, rather just get a few ideas together about what we want and submit an application. Future of Transit funding is unclear, John has received little contact from the organisers since the last tour.
Other venues: John will be booking a gig @ the arts centre on 15th November, Brett has been offered 6th December to do a gig there too. If he does not want this date then Matt suggested we use the opportunity to stage a launch night for the next Sedgemoor Compilation CD
Adrian has offered to buy the two Yamaha speakers and two speaker stands. Will negotiate price with ex-stupidicus members. Civian expressed an interest in purchasing two bass cabinet speakers and mixer amp.

Somerfest:
Selection meeting and procedure:Matt covered the outcome of the last meeting (there would be a panel of four people - Matt, John, Brett and Nik (red fox). Adrian wanted to clarify a misunderstanding in the minutes from the last meeting. he writes: "Should choose the widest spectrum of original cutting-edge popular music from performers based in Somerset. We have given an undertaking to Sedgemoor District council that there will be no swearing or similar behaviour that will give offence at the open-air gig, and we have to enforce this. therefor bands for whom this is an essential part of their repertoire will of necessity be candidates for the indoor evening gig. However this does not mean that there will be any other restrictions on selection, such as an easy-listening type theme for the open-air gig or a metal/punk theme for the evening indoor gig. Though it is accepted that the swearing issue may well weigh things this way" Somerfest selection group will hold their meeting on Sunday 25th may - bands should submit their names before this date to qualify for the selection process
Friday night gig: Matt got £50 from Somerset funds allocated for the Friday evening event.
Advertising? Currently there is an issue about where the Friday night event should be advertised. There is a reluctance to stage the gig in the back room of the rock gardens, with the three crowns being a preferred venue. However without a definite opening date for this venue we cannot state this on the advertising.
Sound/lights Matt secure funding to pay Matt Gunter £250 for both lights and PA for the Saturday event
Crusaders Carnival Club: As the crangleigh gardens is already booked by Crusaders carnival club on the Saturday for a fund-raising fete, it has been agreed that the two events will run concurrently. Its felt this will be immensely beneficial to both the SCMG and Crusaders CC. The implications for the music event is that there will be a beer tent on site (of which the SCMG gets 50% of the profits). Somerfest are paying for security although we must provide some stewards - we need to get names of volunteers. Anybody interested please contact Matt : matt@midnightmango.co.uk

SCMG Minutes 07-04-03

Present:
Present: Matt Bartlett, John Addicott, Nick Tuckwell, Karen Ritchings, Brett Pracownik and Adrian Baker
Apologies: Rob Perdrix

Financial Report:
The new bank account: £205.68 is in the new Natwest bank account. Nick and Karen are currently signatories, John and Brett maybe added in the future.
The Three Crowns/Rock Gardens account: SCMG + 3 crowns accounts presented to those present. Some hassles with compiling the accounts last minute from several promoters. Over the next year promoters who wish to operate as part of midnightmango/SCMG should submit a copy of their nights expenditure/income to John and Matt soon after each concert. The three crowns account left the year £31 in debt. It was agreed at the meeting that £30 would be cleared by the SCMG account (as it was an outstanding PA payment to the arts centre)
The total income for the financial year 2002-2003 was £2956.73.
Grant Application: Matt B has written a grant application to Sedgemoor District Council for the sum of £2,500. This bid includes upkeep of website, the annual Sedgemoor band CD, contributions towards recordings, a financial contribution to Somerfest etc., etc. Those present agreed that this was fine. (It is available to be read on request to matt@midnightmango.co.uk)

Compilation CD "Smells Like Bridgwater 2003":
There were still outstanding monies from Wombomb and Endeavour for the Smells Like Bridgwater CD. A cheque from Wombomb had bounced which Matt B paid out of his own pocket. A cheque was written to him to cover this cost. There had been some complications with bands not knowing who to write cheques to and so it was agreed that (in the future) bands should write cheques to the SCMG directly (and not through Matt B). It was decided that the SCMG would not support Wombomb or Endeavour (either through live music promotion or through Compilation CD's) until their debts were cleared.

Three Crowns Gigs & other Midnight Mango promotions:
Situation: Until further notice all Three Crowns gigs have been moved into the Rock Gardens
Grants: The future of the transit scheme was discussed (there may not be any more after the next tour). Adrian will look into the possibility of seeking Arts Council money for any part of the SCMG/ Midnight Mango activities and report back.
Gigs: Dates available & confirmed
Other venues: Adrian and matt met with Charlie at the Arts Centre and she is happy to allow us a couple of evenings to promote some larger gigs in the winter. We were offered to choose two dates from either Fri. 19th Sep, Sat 27th Sep, Sat 15th Nov or Sat 6th Dec. These bookings will be made on the agreement that the arts centre gets £75 or 50% of the door take, which ever is the greater. John and Brett agreed to take a date each. (they would need to inform the Arts Centre of their booking by the end of May at the latest)The noise limiter is not to be switched off, but set to its least sensitive setting. It was decided that a band would go to the arts centre one day soon to practice which would allow Adrian to see what impact this will have on the maximum volume limit. (Adrian to co-ordinate)
Stupidicus, sound equipment: No progress on this as not enough of the ex-band's members were present. Adrian estimated the two Yamaha speakers (currently used by bands for practice and as on stage foldback) would be worth approx £90 each.

Somerfest:
This years live music is planned to span from Friday through Saturday and conclude on the Sunday eve. Friday eve will be "louder" ones, Saturday will be the "less-angry - more family type" bands and Sunday night is TBC. It was decided that there would not be a limit on just including Sedgemoor bands. The bands will be chosen by a subcommittee. This committee was decided by self-selection and includes Matt B, Brett P, John A and Nick T. It was decided that slots for the bills would be advertised locally, regionally and nationally through free advertising space, where bands would be selected on quality.

Czech News
Rock Tour Czech News: No Czech Society rep present, so no news.

Midnight Mango Web Site
JA asked about the possibility of featuring MP3's of bands on the site. Matt explained it was time consuming to upload MP3's and it would be more convenient to add links from MM to MP3.com where bands could upload their own MP3's.

Magazines:
Commented that the Billy Zine, had not come into fruition.

Upcoming Events
Midnight Mango What's On guide. And, Bikeshed will be playing Café Mamba in Taunton on 24th April and Bull and Gate in islington, London on 4th may.

A.O.B:
Artists are to note that the Backpackers in Glastonbury are seeking acoustic acts for Sunday afternoons
Nick Highlighted a discussion he had recently had with someone from AIM (association of independent musicians) who told him of a bill being passed through parliament which would allow US based companies to purchase British radio stations which would have a huge impact on what music is played. It was discussed that maybe the SCMG should act against this bill in line with our support of underground, bands. Nick to research more.

Date of next meeting:
Tuesday 6th May 20.00hrs Arts Centre "Change of Venue"

SCMG Minutes 03-03-03

Apologies:
Apologies. Andrew Duckett, Brian Smedley, John Addicott

Financial Report:
£185.68. Currently we have £74.85 + £110.83 received from the CD with one band outstanding to pay. (Now two since WomBomb's cheque bounced)
Karen still awaiting to receive new cheque book following the change of bank account, it was agreed we needed to add another signature to the list of those able to sign for funds.
Brett duly nominated and agreed to be added as signatures
John Addicott had produced the required accounts showing the flow of money coming from the gigs. It amounted to £1510 with £29 in the kitty.
Matt then outlined the need for the SCMG to make this years grant application, and asked whether we should proceed, as in previous years, with the application based on the SCMG allocating funds to groups or, whether, since the council had decided last year that individual groups should approach the council directly, this should be omitted from the application. It was agreed that it would be preferable for the SCMG (rather than the SDC) since they were better placed to allocate funds to bands . It was agreed that the usual, compilation CD, website, Somerfest etc. be included in the grant application. Brian would be asked to write in support of the application. Matt would consult with Chris Sidaway on the Somerfest before drafting the application. Matt will draft the new grant application and bring it to the next meeting.

Compilation CD 2003:

Reviews: The Cd has received very good reviews from the Mercury, Suited and Booted, and Weekender magazine, the overall impression is that this is the best we have produced so far. Three Bands still owe the SCMG £20. Bikeshed, Endeavour and WomBomb (who's cheque bounced)

New Arts Centre gigs?
Arts Centre?: It has emerged that Castles Street's most prominent and indeed only resident has moved away, the possibility of the return of "Amplified" Music was discussed. Interested promoters should contact the manager, Charlie, at the Arts Centre. Should this prove to be possible then a gig will be organised by Chris and Karen with the working title of "Reesons to be Cheerful" those bands interested in taking part please contact them as soon as possible.

Three Crowns Gigs:
Matt suggested that the promoter should have full discretion over the running of the gigs, though records need to kept of all sdmc activity so they can be used in grant applications, he also proposed that the promoter should be responsible for arranging the engineer's payment. This was agreed. The meeting also stronly advised a minimum set fee of £30. This would, however be negotiated between the promoter and the engineer. The promoter being liable for the payment to the engineer.
The question of whether occasionally there should be a selection of mixed genres rather than themed was raised, but will be discussed at a later meeting when more people are present..

Band pagesMatt asked for suggestions regarding "dead" bands? any suggestions as to this to be forwarded to matt, he will carry out an audit and review of what bands exsist or are defunct sometime in the next 6 months, but the list is quite long and expanding constantly, and occupies a lot of space and uses time up in the maintainence.

Elections:
Elections: as the smcg has grown it was felt that perhaps there was a need to to enlarge the number of officers to share the work load, Two new positions were suggested Assnt promoter and secretary, also all other positions were due to be elected. After discussion the position of Assnt promoter was agreed upon, but it was felt that perhaps the Vice chair could combine the role of secretary with exsisting duties, this was agreed
Elections where neccessary (*)duly followed
Chair: Matt Bartlett
Vice Chair*: Chris Tulley
Events Promoter: John Addicott
Assnt promoter*: Brett Procownik
Treasurer: Karen Ritchings
